Manage uploaded files and folders

The Media Library stores files your team can use around broadcasts, including images, documents, video, and audio. You can keep files in the workspace library, organize them into folders, or make them private to a single broadcast when they should not be reused elsewhere.

Open the Media Library

  • Open the studio when you want to use a file during a broadcast.

  • Open the file picker from the relevant sharing or media control.

  • Use Recent Files, All Files, folders, or Private to this broadcast to find the file you need.

Upload a file

  1. Open the Media Library.

  2. Select Upload.

  3. Choose a file from your device.

  4. If you are in a broadcast context, choose whether the file should be Private to this broadcast.

  5. Choose a folder if you want to store the file in an existing folder.

  6. Select Upload and wait for the upload to finish.

Supported file types

  • Documents: PDF, PowerPoint, Keynote, and similar presentation files.

  • Images: PNG, JPEG, WebP, and GIF.

  • Video: MP4, MOV, and WebM.

  • Audio: MP3, WAV, AAC, and OGG.

  • Other file types may be stored when accepted by the uploader, but only supported media types can be used directly in studio sharing workflows.

Use folders

  • Create folders to group files by broadcast, campaign, customer, presenter, or content type.

  • Rename folders when the project or campaign name changes.

  • Deleting a folder removes the folder only; the files remain in the library.

  • Move files into a folder from the file actions menu.

Rename, move, or delete files

  • Use Rename when a filename is unclear or no longer matches the content.

  • Use Move to folder to keep shared workspace files organized.

  • Use Delete when a file should no longer be available in the library.

  • Deleting a file removes it from the library and cannot be undone.

Storage limits

  • Uploaded files share account storage with recordings.

  • The upload panel shows account storage usage when a file is selected.

  • If an upload is larger than the remaining storage available on the account plan, HeyStream blocks the upload before it starts.

  • Delete old recordings or files, or upgrade the plan, when you need more storage.
